Team workspaces
A workspace holds projects, workflows, agents, knowledge bases, and runs. Every account starts with a personal workspace that only you can see. A team workspace shares all of that with the colleagues you invite.
Switching workspace
The workspace switcher sits at the top of the Studio sidebar. Whatever you build, run, or spend applies to the workspace shown there, so check it before you start work. Your selection is remembered on that browser.
Creating a team workspace
Team workspaces are part of the Business plan. Open Settings > Team and give the workspace a name, or use Create team workspace in the switcher. On the free or Pro plan the same buttons take you to Billing to upgrade.
Seats
The Business plan includes three builder seats. A builder is anyone who can build or run work, so an owner, an admin, or a member. Viewers are free and unlimited, so you can give read-only access to as many people as you like at no cost.
Inviting a fourth builder adds a seat at £15.00 per month. Studio shows you the exact amount before anything is charged, including the smaller prorated amount due today for the rest of the current billing period, and nothing is added until you confirm. Removing a builder, or changing one to a viewer, releases the seat and credits your next invoice.
A workspace that is no longer on Business cannot add members or change roles, but it can still remove them, so you can always bring a team back within the plan you are on.
If a payment fails
A team workspace does not stop the moment a payment fails. It carries on working for 14 days while you sort the payment out. If the window closes, the workspace becomes read-only: nothing is deleted, everything stays viewable and exportable, and you can still remove members to reduce cost. What stops is new work, so runs no longer start and members cannot be added.
Renewing the plan lifts it immediately. There is no queue and no waiting for a nightly job.
Roles
Every member holds one role in the workspace. Roles apply to that workspace only, so you can be an owner of one and a viewer of another.
- Owner - full control, including billing, deleting the workspace, and granting or removing the owner role.
- Admin - manages members and everything in the workspace, but cannot change an owner or grant the owner role.
- Member - builds and runs workflows, agents, and knowledge bases.
- Viewer - read-only access to the workspace and its run history.
Inviting people
Open Settings > Team, enter your colleague's email address, choose their role, and select Invite. It does not matter whether they already use SMELT. If they have an account they are added straight away. If they do not, they are sent an invitation and join as soon as they sign up.
A pending invitation appears in the members list marked Pending until it is accepted. The link lasts 7 days and works only for the address you sent it to, so forwarding it to someone else achieves nothing. You can revoke a pending invitation at any time, and inviting the same address again sends a fresh link and cancels the old one.
Changing a role or removing someone
Owners and admins can change any member's role or remove them from Settings > Team. Removing someone revokes their access immediately; the work they created stays in the workspace.
Two rules are enforced by the server, so they hold however the request is made. Only an owner can grant the owner role or change an existing owner, and a workspace always keeps at least one owner, so the last owner cannot be demoted or removed. Promote a second owner first, or transfer ownership before you leave.
Billing
Usage in a team workspace is billed to that workspace, not to the member who ran it. See Billing & Limits for plans and allowances.
